How to use InvuAI
Set up projects, add prompts and keywords, read the results, bring in your team and manage your plan. Every step uses the names you see on screen.
Nothing matches. Try another word, or ask us.
Getting started
Create an account, set up your first project and find your way around.
How do I create an account?
Go to app.invuai.com/signup and choose Continue with Google, or sign up with your email address and a password of at least 6 characters. If you sign up with email, we send a link to confirm your address before you can sign in.
The free plan needs no credit card.
How do I set up my first project?
A project is one brand in one country. When you first sign in, the setup opens on its own. You can also start one from the Dashboard with Add Project.
- Set Up Your Brand: your brand name, industry, the market (the country your customers are in) and your website. Add any other names or spellings people use for your brand.
- Add Your Competitors: at least one. To count a brand under several names, write them on one line separated by a vertical bar, for example
American Eagle | AE | American Eagle Outfitters. - Add Keywords (Optional): Google searches to track, one per line. You can add a tag to all of them, and tick Also check Google Shopping to check Shopping every week.
- Add or Generate Your Prompts: type or upload your own (Add Prompts Manually), or let InvuAI suggest them (Generate prompts with AI help).
You can skip keywords and add them later from the Rankings tab.
When will I see results?
Google rankings usually arrive within about an hour of adding keywords, and Shopping checks soon after.
ChatGPT is checked overnight, so your first answers are in by the next morning, UK time. Gemini, Perplexity, Google AI Mode and AI Overviews (on paid plans) follow within a day. We email you when your first results are ready.
The status line under the project name shows when each source was last checked.
How do I find my way around?
The menu on the left opens when you point at it. Use the pin icon at the top of the menu to keep it open. It has the Dashboard (your list of projects), the Prompts Generator, each of your projects, and your Plan usage at the bottom.
Along the top right are the light and dark mode switch, your inbox (the envelope icon) and your account menu (the person icon) with Profile & Settings, Billing & Subscription and Logout.
Inside a project, the tabs are:
- Overview: AI answers, Google and Shopping at a glance.
- Rankings: Google positions and the AI Overview for each keyword.
- Shopping: whose products Google Shopping shows for your keywords.
- AI answers: Summary, Results by prompt, Competitors, Sources and Manage prompts.
- Brand demand: how many people search for your brand and your competitors.
- Insights: Gaps and your Action plan.
Projects
Add, change and delete projects.
How do I add another project?
On the Dashboard, select Add Project and follow the same steps as your first project. Each project tracks one market, so to track the UK and Germany, create a project for each.
The free plan includes one project, Starter three, Growth five and Scale unlimited projects.
Can I change a project's name, website or market?
The brand name, industry and website are fixed once a project is created. The market can be changed:
- Open the project and go to AI answers then Manage prompts.
- Select Edit project.
- Choose the new country under Market and select Save market.
Checks run from the new country from the next run. Earlier results stay as they were.
How do I add other names or spellings for my brand?
- Open the project and go to AI answers then Manage prompts, and select Edit project. You can also select Edit on the project card on the Dashboard.
- Add abbreviations, former names or common misspellings, one at a time.
- Select Save names.
InvuAI counts a mention of any of them as a mention of your brand.
How do I add or remove competitors?
- Open the project and go to AI answers then Competitors.
- Select Edit competitors.
- Add or remove names. Use a vertical bar for alternative names, for example
Main Name | alias1 | alias2.
InvuAI then goes back through your stored answers so the new competitors are counted there too. This can take a few minutes.
How do I delete a project?
- On the Dashboard, select the bin icon on the project card.
- Select Delete Everything to confirm.
This permanently deletes the project with all its prompts, answers and results. It can't be undone.
Prompts
The questions InvuAI asks AI assistants for you.
What is a prompt?
A question your customers might ask an AI assistant, such as "best running shoes for flat feet". InvuAI asks ChatGPT every prompt every day, and on paid plans also asks Gemini, Perplexity, Google AI Mode and AI Overviews once a week. It records whether your brand is named, who is named first, which sites are cited and how the answer describes you.
How do I add prompts?
- Open the project and select Add prompts at the top right of the Overview or AI answers tab.
- Choose Add Prompts Manually to type or upload your own, or Generate prompts with AI help for suggestions.
- Type one prompt per line. Add tags under Tags (Optional) to label the whole batch.
- Save. New prompts are checked in ChatGPT overnight.
Your plan sets how many prompts you can track: 5 on Free, 50 on Starter, 150 on Growth and 350 on Scale.
How do I upload prompts from a CSV file?
When adding prompts manually, select Upload CSV above the prompt box. The file must be a .csv or .txt file under 1 MB.
- Put the prompts in a column with a header containing the word
prompt, such asprompt_text. Without a header, the first column is used. - Optionally add a
tagscolumn (a header with tag, category, theme or topic also works). Separate several tags in one cell with a semicolon or a vertical bar. - A .txt file is read as one prompt per line.
Each prompt keeps its own tags from the file.
How does the Prompts Generator work?
Select Prompts Generator in the left-hand menu. Enter the Category (what the prompts are about, such as running shoes) and the Country, then choose the language, the funnel stages and how many prompts you want. The stages you pick set the mix, from educational questions to ready-to-buy ones.
Under Advanced you can add a city, brands to include, seasonal questions, tone and difficulty. Intent focus suggests what people weigh up in your category, such as pricing or integrations for software.
Select Generate Prompts, tick the ones you want and add them to a project. The number of prompt ideas you can generate each month depends on your plan: 14 on Free, 100 on Starter, 300 on Growth and 1,000 on Scale. Plan usage in the menu shows what's left.
How do I edit, tag, pause or delete prompts?
Open the project and go to AI answers then Manage prompts. Every prompt is listed with ChatGPT's latest answer. For each prompt you can:
- View last response to read the latest answer.
- Edit tags to add or remove its tags.
- Pause prompt to stop checking it but keep its answers. Resume prompt starts the checks again.
- Delete prompt to remove it and all its answers. This can't be undone.
- Mark it as a brand prompt (one that names your brand or products).
Paused prompts don't count towards your plan. Resuming one counts again, so you may need to pause or delete another first.
To change many prompts at once, select Bulk actions, tick the prompts, then add or remove tags, pause, resume or delete them. You can search the list and filter it by tag, by whether you were mentioned, by whether your site was cited, and by date.
What are brand prompts, and why filter them out?
Brand prompts name your brand, for example "is [your brand] worth it?". ChatGPT almost always mentions you in the answer, so they push your Mentioned and Top pick figures up.
Mark them in Manage prompts, then use the filter at the top of the project to show All prompts, Non-brand or Brand. Non-brand prompts show how often you come up when people haven't asked about you.
Can I export my prompts and answers?
Yes, on paid plans. In Manage prompts, use the download icon to export the list to CSV. In Competitors, Export all downloads the competitor figures.
Google keywords
Track your Google positions, AI Overviews and Shopping results.
How do I add keywords?
- Open the project and go to Rankings.
- Select Add keywords.
- Type your own keywords, one per line. Keywords you already track are skipped. Or select Find ideas for keywords your site already ranks for and searches ChatGPT ran while answering your prompts.
- Add them.
First positions usually arrive within about an hour, then every week. Your plan sets how many keywords you can track: 25 on Free, 100 on Starter, 300 on Growth and 700 on Scale.
What does InvuAI check for each keyword?
Once a week, for the project's market: your position in Google's top 20 and the page that ranks, the AI Overview on the results page (whether it names or cites you), who else ranks in the top 10, and Google Shopping when the results show products.
How do I pause, remove or change Shopping checks for a keyword?
In Rankings, open the menu at the end of the keyword's row. You can:
- Pause tracking or Resume tracking.
- Set Google Shopping to When Google shows products, Always check or Never check.
- Remove keyword.
How does Brand demand work?
Open the Brand demand tab and select Load brand demand. It takes about 20 seconds and shows monthly Google searches for your brand and your competitors, and each brand's share of search. Figures refresh monthly, when Google publishes them.
Use Change names or exclusions to choose which names to count, and to leave out searches that are about something else.
Reading your results
What the numbers mean and where to find them.
What do Mentioned, Top pick, Cited and Score mean?
- Mentioned: the share of answers that name your brand.
- Top pick: the share of answers where your brand is named before any competitor you track.
- Cited: of the answers where ChatGPT searched the web, the share that link to your site.
- Score: out of 100. 50% Mentioned, 25% Top pick and 25% Cited. Until there is web search data, Mentioned and Top pick count two to one.
- Share of voice: of every time the engines name a brand you track, the share each brand gets.
Which AI engines are checked, and how often?
ChatGPT every day on every plan, using answers from the ChatGPT app. On paid plans, Gemini, Perplexity, Google AI Mode and Google AI Overviews once a week. Use the engine filter in AI answers to see one engine or several.
Where do I see what the AI actually said?
In AI answers then Results by prompt, open a prompt to read each engine's answer, the brands it named and the sources it cited.
Why don't all answers have sources?
ChatGPT only searches the web for some questions, as it would for a real user. When it does, InvuAI records the sites it cites, the pages it read and the searches it ran. Sources shows the sites cited most often across engines.
Does InvuAI tell me how many people saw my brand?
No. AI assistants don't share impression data, so no tool can say how often your brand was shown. InvuAI shows how your brand appears in the prompts you track, in your market, and keeps the history so you can follow the trend.
Insights and action plan
Find where you're left out and decide what to do about it.
How do I run the gap analysis?
- Open the project and go to Insights.
- Select Run analysis. It takes up to a minute.
It finds the prompts where ChatGPT left you out of at least half of its answers over the last 7 days, groups them by the need behind them (such as price or sizing), shows who was named instead and suggests what to publish.
Gap analysis is included on Starter, Growth and Scale, once a week per project. It uses the brand filter at the top of the page, so you can run it on non-brand prompts only.
How reliable are the suggestions?
The numbers (how often you were left out and who was named instead) come straight from your tracked answers. The groupings and advice are written by AI, so review them before acting on them.
How does the Action plan work?
On a recommendation in Gaps, select Action to add it to your Action plan. You can also add your own items. Items sit in To Do, To Investigate Further or Other Ideas, and you can mark them done.
Team members
Work on the same projects with your colleagues.
How do I invite a colleague?
- Open the account menu (the person icon, top right) and select Profile & Settings.
- Under Team members, enter your colleague's email address and select Send invitation.
They receive an email with a link to join. Team members are included on Starter, Growth and Scale, with no limit on how many you invite.
How does my colleague accept?
They open the link in the email and sign in, or create a free account, with the email address the invitation was sent to. Your projects then appear in their project list.
What can team members do?
They see and work on all of your projects, using your plan: they can add prompts and keywords, run insights and edit the action plan. Anything they add counts towards your plan's limits. They can't delete projects or change billing.
How do I resend, cancel or remove someone?
In Profile & Settings, under Team members, select Resend next to a pending invitation, or the cross next to a name to cancel the invitation or remove the person. They lose access straight away.
If you're a member of someone else's team, select Leave team in the same place.
